Records management (RM) is a concept for organising and managing documents produced or received by UNIL, its staff and its departments in the course of their activities. Our RM policy covers the management, creation, receipt, use, conservation and final disposal of documents.
The objectives of RM are to enable you to guarantee the security, reliability, authenticity, integrity, usability and contextualisation of your information by helping you to implement best practice based on internationally recognised standards.
You can find the documents available to UNIL units in our Documents to download section.
GEDUnil is the internal name of Unil's electronic document management platform. This platform runs on the SharePoint software chosen as part of the GEDUNIL2.0 project. It is provided free of charge by Unil management.
GEDUnil enables UNIL units to manage, describe, classify, store, collaborate on editing, share and distribute the electronic administrative documents they produce and receive as part of their activities, in accordance with their mission and the legal requirements in force.
The functionalities offered include: organisation according to Unil's harmonised classification plan (the same as for paper archives), a high-performance search centre, online editing, co-editing of documents, version management and tracking, easy sharing, the possibility of workflow, the addition of metadata to facilitate document management and searching, the transformation of documents into records (fixed evidential documents), etc.
In 2020, GEDUnil will be used by the SSP and FTSR faculties, UNIRIS, the Alumni Office and other departments (IR, UNISIS), as well as by a division of the IT Centre. In addition, a large number of projects are currently managed on the platform, both academic research projects and projects run by administrative units.
